Keep Disagreement Visible Until Its Cause Is Resolved
Editing a report with several authors is partly a writing task and partly a record-reconciliation task. A consistent voice cannot repair different reporting periods or definitions. Establish a controlled candidate and resolve the meaning of each conflict before smoothing it away.
The fictional packet below contains three author versions. Its figures and records exist only for practice. The purpose is a July-September activity report, not an impact evaluation.
Inspect the Three-Author Packet
| Author File | Statement | Source in This Exercise |
|---|---|---|
| Operations v3, October 18 | Six sessions generated 120 attendances and reached 80 unique participants in July-September | Register R3, checked for repeat attendees across sessions |
| Finance v2, October 16 | April-September costs were 12,000 USD; cost per participant was 100 USD | Cost schedule C2; the author divided 12,000 by 120 |
| Technical v1, October 15 | All learners improved their skills | Assessment T1: 46 of 60 assessed participants met the stated post-session criterion; no comparable baseline was supplied |
Operations' two figures are not inherently contradictory: one person may attend more than one session. Finance combines a six-month cost with a three-month attendance denominator, then calls that denominator participants. Technical turns a post-session result for assessed participants into improvement for everyone.
Freeze a Working Baseline
Keep the source files read-only in their authorized location and identify the report candidate, owner and comment deadline. Record R3, C2 and T1 with dates and definitions. Do not overwrite a disputed figure in every section before learning which source it came from. Restrict access to individual records; a report reconciliation rarely requires sharing participant names with all authors.
Ask the client to consolidate decisions through one report owner. The owner coordinates the resolution; specialist owners still decide their own evidence questions. A report owner cannot create an absent baseline by approval.
Resolve the Issues One by One
| Issue | Editor's Question | Resolution and Consequence |
|---|---|---|
| 120 versus 80 | Is each number a person or an attendance, and was deduplication checked? | Operations confirms 120 session attendances and 80 unique participants in R3. Keep both labels everywhere. |
| Cost period | Which costs belong to July-September? | Finance supplies C3, October 19: 9,000 USD attributable to that period under its stated allocation basis. Retain the separate 12,000 six-month total only if that period is discussed. |
| Unit cost | Which denominator serves the reader's question? | 9,000 / 80 = 112.50 USD per unique participant; 9,000 / 120 = 75 USD per attendance. Neither is a measure of learning or value by itself. |
| Skills claim | Was there a baseline or other evidence of change for all 80? | Technical confirms none supplied. Report only that 46 of 60 assessed participants met the post-session criterion; 20 of the 80 participants were not assessed. Do not infer improvement. |
The unit-cost correction needs more than replacing 100 with 112.50. Check that the numerator includes comparable costs and that the explanation states the period and basis. C3 is a supplied fictional finance correction, not permission for the editor to invent an allocation.
Write the Reconciled Passage
During July-September, six sessions recorded 120 attendances by 80 unique participants. Finance schedule C3 assigns 9,000 USD to that period. This equals 112.50 USD per unique participant, or 75 USD per attendance; the two measures use different units. In the post-session assessment, 46 of 60 assessed participants met the stated criterion. Twenty participants were not assessed, and no comparable baseline was supplied. These records describe activity, cost and an assessed result; they do not establish that all participants improved or that the sessions caused a change.
Keep the passage linked to R3, C3 and T1 in the working file. The public report can explain its evidence without disclosing individual-level records.
Handle a Conflict That Cannot Be Closed
If finance cannot isolate July-September costs, remove the period-specific unit-cost calculation or label it unavailable. Do not apportion the six-month cost evenly just because the arithmetic is easy. If participants cannot be deduplicated, report attendances and state that unique reach is not established. The final report may need an unresolved limitation rather than a false single number.
After each resolution, update the narrative, tables, captions and executive summary. Search for the superseded values and check their context; some may be valid in a historical explanation. Record the responsible owner's decision and the candidate version checked. A clean editing pass is not independent verification of the underlying register.
