Input
Bring the prepared agenda, evidence for each open item, actual delegations and a blank startup decision record. Distinguish who can provide information from who may decide. The output is a factual record of actual decisions, deferrals and actions, with each organization's acknowledgment separately evidenced.
Steps
- Confirm the actual decider and limits for each item before discussing a commitment.
- Present its permitted evidence and missing information.
- Ask the authorized decider for a decision, deferral or withdrawal within that scope.
- Read back the proposed record wording, including the reason and unresolved points.
- Invite factual corrections without treating silence as agreement.
- Assign each next action an owner and explicitly confirmed date, or mark the date unresolved.
- Send the record to each organization for its own factual acknowledgment.
The chair records; chairing or attending supplies no additional decision power. If the chair also holds actual delegation, record that separate authority and scope rather than infer it from the role.
Fictional Run
Brook Trust and Summit Hall Committee have sixty minutes for Saturday room use, shared room-booking calendar fields and cleaning cost. Their invented timing plan is 10 minutes for authority checks, three items at 10 each,10 for corrections and 10 for read-back:10 +3 x 10 +10 +10 =60 minutes. These are editorial allocations, not mandatory meeting lengths.
The hall's supplied written delegation assigns the cleaning-cost decision, within this meeting scope, to its treasurer. That treasurer is absent and has supplied no decision. Record cleaning cost DEFERRED: owner, treasurer under that delegation; reason, actual decider absent; action, obtain their position; follow-up date NOT SUPPLIED, to be explicitly agreed. Other contacts may assemble the question but cannot substitute their approval.
For room use and calendar fields, the hall committee contact and Brook lead must supply actual delegations. Until they do, record decision authority UNKNOWN and keep commitments pending. This case supplies no room or calendar approval; do not borrow the different decisions from the template's separate fictional example.
Read back that the cleaning item is deferred and the other authority questions remain open. Ask each side to correct factual errors, then send the record for acknowledgment. A message acknowledging receipt does not establish consensus, approve the cleaning amount or authorize room access.
Exception: No Decider Present
Do not vote away the authority gap or record presumed agreement because everyone wants to start. Identify the actual owner, precise question, evidence needed and proposed follow-up. Confirm the follow-up date through the real parties; a blank date should remain visible, rather than become an invented deadline. If a consequential action is imminent, seek timely direction from the actual authorized route.
Human Boundary and Limits
Attendees decide only within their established authority. This editorial meeting record does not claim consent or binding terms; legal effect remains subject to actual circumstances, terms and applicable rules. It contains operational room/calendar fields, without personal participant data, result measurement or publicity-permission teaching. Use the agreement discussion for formal questions, not as a substitute for actual legal review.
