Prepare the decision before the contract's actual applicable notice point is established or reached. - Compare continuation and other options using evidenced costs and explicitly unpriced alternatives.
- Check actual commitment authority, policy limits, budget and applicable legal questions.
- Obtain and record the authorized decision with reasons and any conditions.
- Send any actual notice through the contractually required authorized route and retain evidence of service separately.
Use the renewal record for the pack. If the route or address is unresolved, resolve it with the owner; a second channel or stored contact alone proves neither current trust nor valid notice service.
Fictional Worked Case
Office-cleaning contract C-77 runs January 1-December 31, 2027. Clause 9.2 states: 'Either party may end the contract by written notice delivered by 2027-10-15'. Clause 9.4 states: 'The buyer may extend once by 12 months at 470 USD per month if it so notifies in writing'. These exact supplied dates/terms are invented; spacing does not add a notice rule.
Current fee is 450 USD/month. Current-year cost is 450 x 12 =5,400 USD. The proposed twelve-month extension is 470 x 12 =5,640, an increase of 240. Next-period budget is 5,500, so the proposed extension exceeds it by 140. An unverified user note suggests three cleaning days could replace five; that alternative is UNPRICED. Do not multiply the fee by 3/5 or treat reduced service as agreed.
Users report five-day cleaning is needed. The manager gathers evidence but has no commitment authority. The supplied policy gives the operations director authority only within its finance-policy limit, whose amount is not supplied. Verify that actual limit and the budget-change route before treating 5,640 as approvable by that role.
Exception: Unclear Notice Wording
The excerpts do not say whether the extension notification shares October 15, 2027. Refer that question to the contract owner/adviser; do not compute or select an extension deadline. No consequence of silence or automatic renewal is supplied. Preserve the question and act through timely authorized advice, rather than assume waiting is harmless.
